Windows Replacement Project ‐ Phase 2 Update - August 10, 2022, HOA Meeting

  • In Executive Session following our June 8, 2022, HOA meeting, the Bay Scene Board of Directors reviewed and approved Whitmore Architects’ proposal for Phase 2 Window Replacement services.

  •  Phase 2 work consists of three subphases: 1) Design Development; 2) Construction Documents; and 3) Construction Administration.

  • We organized the contract such that only the design development subphase is funded at this time.

  • Key features of the Phase 2 contract include:

    1. To lower overall project cost, the proposed scope of services is now a negotiated bid contract with Nautilus General Contractors providing Design-Assist services.

    2. Value engineering concepts have been incorporated throughout the project to help further reduce overall project costs.

    3. A value engineering charette, to include Whitmore Architects, Nautilus General Contractors, and two Bay Scene Directors and/or Windows Committee members, will be scheduled to consider and select cost savings strategies for identified design alternatives.

    4. In the design development subphase, window design in the will be in sufficient detail that accurate window replacement costs can be defined.

    5. Approximately two to three months will be needed to complete the design development subphase, after which there will be one or two Town Hall meetings to present findings to our homeowners.

    6. As mentioned above, a pause after the Town Hall meetings has been formally incorporated into the contract to allow a survey of homeowners as to whether we should proceed with the project.
